Open ChatGPT and start a new conversation. Type and send this message — this is your "setup" message that trains it for your needs:
"I'm an HVAC service technician. I'm going to give you quick notes from a service call, and I need you to turn them into a professional service report. The report should include: what equipment was serviced, what the problem was, what work was performed, any parts replaced with part numbers if I give them, system performance readings if I provide them, and recommendations for the customer. Keep it professional but easy for a homeowner to understand. Under 200 words unless the job is complex. Ready?"
ChatGPT will confirm it understands. Now you have a trained session.
After your next call, type your rough notes:
"Lennox XC21 3-ton, 2019. Customer said AC not cooling past 78. Found capacitor weak on blower motor — 15MFD tested at 10.2. Replaced with 15MFD capacitor (part 89M72).
