What This Builds
Every customer who gets a completed job in Housecall Pro automatically receives a text message 24 hours later asking them to leave a Google review — with a direct link. No tech ever has to awkwardly ask in person. No customer ever feels put on the spot. Reviews come in consistently, every week, from your normal job volume.

- Active Housecall Pro account
- Your Google Business Profile review link (instructions below to find it)
- Zapier free account (zapier.com)
- Time needed: 45-60 minutes to build
- Cost: Free (Zapier free tier handles up to 100 Zaps/month)
The Concept
Google reviews are the #1 factor in whether a homeowner calls you or your competitor. Most HVAC shops have 10-50 reviews; shops with 200+ reviews get the phone calls. The math is simple: if you do 5-10 jobs per day and 15% of customers leave a review after getting asked, you'd add 50-80 reviews per month — within 3 months you'd be the most-reviewed HVAC company in your market.
The barrier is asking. This automation does the asking for you, every time, automatically.
Build It Step by Step
Part 1: Get Your Google Review Link
- Go to business.google.com and log in with your business Google account
- Click on your business listing
- Click Get more reviews (or look for "Share review form")
- Copy the link — it looks like:
https://g.page/r/XXXXXXXX/review - Save this link — you'll use it in every review request message
Part 2: Create the Zapier Automation
- Log in to zapier.com and click + Create Zap
Step 1 — Trigger: Job Completed in Housecall Pro
- Select Housecall Pro as the app
- Trigger event: Job Completed
- Connect your account and test the trigger
Step 2 — Delay: Wait 24 Hours
- Add a Delay by Zapier step
- Set: 1 Day
Why 24 hours? Customers who get an immediate review request right after paying feel pressure. Waiting a day lets the positive experience sink in — response rates are higher.
Step 3 — Filter: Only Send If Customer Has a Phone Number
- Add a Filter by Zapier step
- Condition: Customer Phone field Exists (is not empty)
- This prevents the Zap from failing on jobs without a contact number
Step 4 — Send the Review Request SMS via Housecall Pro
- Add a Housecall Pro step
- Action: Send SMS
- Customer: map from trigger step
- Message (copy and paste this, replacing YOUR_LINK and YOUR_COMPANY):
Hi {{customer_first_name}}! This is [Your Name] from [Company Name]. We hope your HVAC is running great. If we did a good job for you, we'd be really grateful if you left us a quick Google review — it means the world to our small business: YOUR_LINK
No pressure at all, and thanks for choosing us! 😊
- Click Publish Zap to turn it on.
Part 3: Test It
- Create a test job in Housecall Pro with your own phone number as the customer
- Mark it complete
- Temporarily change the Delay to 2 minutes for testing
- Verify you receive the SMS with the Google review link
- Change the Delay back to 1 Day before going live
Real Example
Setup: Zap built and running. You do 6 jobs on Monday.
What happens: At approximately the same time Tuesday, 6 customers receive a friendly SMS with your review link.
Typical results (for a 6-job-per-day shop):
- Monthly jobs: ~120
- 15% response rate → ~18 new reviews per month
- After 3 months: 54+ new reviews

What to Do When It Breaks
- "SMS not sending" → Verify the customer phone number is in the correct format (10 digits, no dashes) — Housecall Pro sometimes stores numbers differently
- "Wrong customer getting the message" → Always map the customer field from the trigger, never hard-code
- "Zapier free limit reached" → At 100 Zaps/month limit, you may hit the cap; upgrade to $20/month Starter plan for unlimited runs
- "Review link not working" → Test your Google review link in a browser to make sure it still routes correctly; Google Business links occasionally change
Variations
- Simpler version: Send the review request immediately after job completion (skip the Delay step) — less ideal but works and is simpler
- Extended version: Combine with the post-job follow-up automation: first message at 2 hours (thank you), second message at 24 hours (review request). Two-touch sequence drives higher engagement.
- Email version: Add a parallel path that also sends an email with a longer message and the review link — some customers prefer email over text
