What This Does

Google Docs has a built-in AI writing feature that can draft a professional HVAC maintenance service agreement in minutes — giving your business a real, signed contract instead of informal verbal agreements that lead to disputes later.

Before You Start

  • You have a Google account (free — gmail.com counts)
  • You're logged into Google Docs at docs.google.com
  • You know your basic service agreement terms: price, what's included, duration

Steps

1. Open a New Google Doc

Go to docs.google.com and click + Blank to open a new document. Give it a title like "HVAC Maintenance Agreement Template."

2. Find the "Help Me Write" Feature

Click somewhere in the blank document. You should see a small pencil/star icon appear in the margin, or a prompt saying "Help me write." Click it. If you don't see it, go to Insert → Help me write from the top menu.

3. Type Your Request

In the AI input box that appears, type:

4. Review and Customize

Google Docs will generate a full draft. Read through it and:

  • Replace [Company Name] with your actual company name
  • Update pricing to match your rates
  • Add or remove specific services you offer
  • Add your contact info at the bottom

5. Save Your Template

Once you're happy with it, File → Make a copy to save a clean version. Each time you need to use it, make a copy and fill in the customer's name and date.

Real Example

Scenario: You've been doing maintenance by handshake and verbal agreement. A customer disputes whether a second visit was included. You need a written contract.

What you type: "Write a residential HVAC maintenance agreement including one spring AC tune-up and one fall heating inspection per year for $189, with a 30-day cancellation policy and priority scheduling."

What you get: A 1-2 page professional agreement that you can print, sign, and give to the customer.

Tips

  • Have a lawyer or your trade association review the final template once — it's worth the one-time cost
  • ACCA and PHCC have sample contract templates you can compare yours against
  • For the pricing section, make sure to clarify that repairs are separate from the maintenance plan fee

Tool interfaces change — if "Help me write" has moved, look for a star or pencil icon in the document, or check the Insert menu.
