What This Does

ServiceTitan's AI dispatch feature automatically sequences your technicians' daily calls based on location, job duration, traffic, and tech certifications — so instead of the dispatcher manually sorting the schedule each morning, the AI does it in seconds and typically adds 1-2 more jobs per tech per day.

Before You Start

  • You have ServiceTitan (your company must have an active subscription)
  • You're logged in as a dispatcher or manager
  • Jobs for the day are already entered in the system

Steps

1. Open the Dispatch Board

Open ServiceTitan and click Dispatch in the left navigation menu. You'll see the visual board with all today's jobs as blocks, arranged by time and tech.

2. Find the AI Optimization Button

Look for the Titan Intelligence icon or the Optimize Schedule button near the top of the dispatch board. It may appear as a small lightning bolt icon or an "AI" badge depending on your plan.

3. Set Your Optimization Rules

Click the optimization button. A panel will open asking you to confirm:

  • Time window (start time, end time for the day)
  • Whether to respect existing committed appointment windows
  • Which technicians to include

Leave the default settings for your first time.

4. Run the Optimization

Click Optimize or Apply. The AI will resequence the jobs on the board — you'll see the call order change visually. The algorithm considers drive time between jobs, job duration estimates, and real-time traffic.

5. Review and Accept

Review the proposed schedule. You can drag any job to a different position if a specific customer requested a certain time. Click Confirm or Apply Changes to lock in the optimized schedule.

Real Example

Scenario: You have 8 service calls spread across the city, assigned to 2 techs. The original schedule has them crisscrossing town.

What you do: Click Optimize Schedule with default settings.

What you get: ServiceTitan clusters the calls by geography — Tech 1 covers the north side, Tech 2 covers the south side. Total drive time drops from 3.2 hours to 1.8 hours, and both techs can fit in an additional call.

Tips

  • Run optimization first thing in the morning before customers have confirmed specific arrival windows
  • If a customer calls to ask "what time will you arrive," run optimization first, then give them the window
  • Check the optimization results against your knowledge of the area — AI doesn't know about construction zones or access issues

Tool interfaces change — if a button has moved, look for "Titan Intelligence" or "Optimize" in the Dispatch section.
